What we collect, and what we don't.
Northchart is a DBA of Solution Planets, LLC, a Texas limited liability company based in Houston. This policy covers the northcharttx.com website only. It does not cover systems we build or operate for a client practice — those are governed by the agreement and the Business Associate Agreement with that practice.
Please don't send us patient information
This website is not a secure channel for protected health information. Our contact form is for arranging a conversation, nothing more. Please do not include patient names, dates of birth, medical record numbers, diagnoses, or any other patient identifier in it. If you send patient information to us by mistake, tell us and we will delete it and confirm that we have.
Information you give us
When you submit the contact form, we receive the name, practice name, and email address you enter, the phone number and message if you choose to add them, and which page you submitted from. We use this only to reply to you and to arrange a referral audit or an introductory call.
Form submissions are processed by Netlify, our website host, and forwarded to our business email at Google Workspace. We do not sell this information, and we do not share it with anyone outside Northchart except those two service providers, who process it on our behalf.
We keep enquiry records for as long as there is a live conversation, and for up to two years afterwards so we can pick up where we left off. You can ask us to delete yours sooner, at any time, and we will.
Information collected automatically
We use Google Analytics to understand how people find and move through this site — which pages get read, which links get clicked, and roughly where visitors are located. Google Analytics sets cookies in your browser and collects a truncated version of your IP address. We use it in aggregate; it does not tell us who you are.
If you would rather not be counted, you can install Google's browser opt-out add-on, or block cookies for this site in your browser settings. Nothing on this site stops working if you do.
Our host, Netlify, also keeps standard server logs for security and reliability.
Booking a time
If you book through our scheduling link, the booking is handled by Cal.com, and the details you enter there are held under Cal.com's own privacy policy as well as this one.
Your choices
- Ask us what we hold about you, and we will tell you.
- Ask us to correct it, and we will.
- Ask us to delete it, and we will, unless we are required to keep it.
- Ask us to stop contacting you, and we will stop.

Children
This site is aimed at medical practices, not at the public and not at children. We do not knowingly collect information from anyone under 13.
Changes
If we change this policy we will update the date below. Material changes will be described here rather than made quietly.
